Hullavington Village Hall ManagementCommitteeSeptember 2011Annual General Meeting Aug 9th 7.30pm The AGM of the Village Hall Management Committee took place at the Village Hall on Tuesday 9th August. Three members of the public were present. A brief report of the proceedings is as follows:-Treasurer’s ReportThe Treasure felt able to declare that financially it had been a successful year, with an increase in reserves and that the accounts were healthy and had been approved by an external Auditor. The accounts in brief are as follows:2010-2011 2009-2010 Carried Forward £37,058.88 £34203.31 Total income during year £15,180.20 £14,464.97 Total:C/F plus income £52,239.08 £48,668.28 Total Expend.during year £6,831.26 £11,612.30 End of year Balance £45,407.82 £37,055.98 Chairperson’s report (part only): August 2010 – July 2011 1) The performance of Hullavington Village Hall Management Committee during the period August 2010 to July 2011 has continued to be successful in the way in which the hall has been used, managed, and maintained. Despite increasing pressures on the hall management committee, whose membership continues to decline in numbers, this commendable success is due to the following: a) The willingness and ability of the members of the village hall management committee to deal with, on a voluntary basis, a wide range of operational, maintenance and administrative work that needs undertaking to keep the hall up to speed. b) The way in which the hall is managed so that it meets entirely its requirements, in the way that the hall is used by people in the community, as defined in the Lease and Trust Deed. c) The range of both individuals and groups who use the hall for a variety of personal and community-based purposes. d) The ongoing use of, and support from, the on-line booking system both in managing hall bookings and facilitating the financial management of hall rental income. e) The success of the hall committee’s annual budget and business plan, as prepared and presented by the treasurer, which has resulted in an operational cash surplus at the end of the 2010-2011 financial year. 2) Chairperson’s acknowledgement As Chairperson I express my sincere thanks for the effort and contributions that all members of the committee have made during the past year. It is only as a result of such effort and contributions that the results and standards listed throughout this report have been achieved

Appointment of Booking Systems Administrator - Paul Hadley. Village Autumn Show – Sat.Sep 3rd – Village HallOnce again we enjoyed a very successful Autumn Show on September 3rd in the Village Hall, and we give our sincere thanks to Jebbie and Duddley Hewitt for all their hard work in organising it and making it such a success, and this despite the fact that because of a delay at Calais they did not get back from France until mid evening on the Friday. A big thank you to their daughter Victoria for stepping in on the Friday and dealing with the entries. Also thanks to all the many other helpers both on the day and on the Friday evening. It was a lovely day with entries holding up well. Vandalism at, and misuse of, Village Hall site and premises Vandalism and misuse of the Village Hall site continues to be a problem and at the AGM a member of the public, a neighbour of the hall building, complained about the vandalism around the hall at weekends and in the evenings and the disruption to the neighbourhood that this causes. Often because of bricks and stones being thrown around the site. Community police are aware of the problem but their involvement has not improved the matter. The committee discussed the situation at the subsequent committee meeting after the AGM. It was suggested that we could lock the gates and limit access to the car park and the footpath but this would inconvenience other villagers. However, an action that has already been taken is the removal of all the loose stones and bricks from the site. The installation of CCTV will again be looked at to see if it would be feasible. The next RAW event – Fri 4th Nov. Thee next Raw event in the Village Hall will be held on Friday November 4th starting at 7.30pm. It is "The Brothers Grimm" an hilarious spoof fairy tale from Gonzo Moose, suitable for all ages from 7 up. Full details elsewhere in the newsletter. The 200 Club – John Greenwood - Membership Vacancies John Greenwood was not able to be present to give a report at the Hall AGM but Rachel Hurst, who is soon to take over the role of administrator, reported that the number of members was down from last year to 186 out of a maximum of 200. Rachel gave thanks to Margaret Saunders and Dennis Shaw for collecting monies and she also thanked John for his years of service as administrator. The Village Hall Committee also expressed their appreciation of the work done by John for the past six years and thanked Rachel for now taking on the task. The 200 Club continues to provide an extremely valuable source of income to the Village Hall. At the present time there are some places available so if you are not a member please be considering it. Booking the Village Hall We continue to welcome new groups and organisations to the hall and bookings are extremely healthy. Nevertheless there are always a few spare slots.
